Privacy notice

What we keep when you send a brief, use the assistant or say yes to counting your visit, why, for how long, and how to have it deleted.

Who we are

Elite Build & Co is a trading name of ELITE BUILD & CO (ESSEX) LTD, registered in England and Wales, company number 17457424. Registered office: Charter House, 103-105 Leigh Road, Leigh-on-Sea, Essex, SS9 1JL. We decide how the personal data described here is used, so we are its controller under UK data protection law.

When you send a brief

A brief is the project form on the page, or the assistant's "Give details of a job". We keep what you send: the kind of job, the postcode, where you are with drawings, a rough budget if you give one, your message, your name, your email address and, if you give it, your phone number. If you attached a guide figure from the calculator, that goes with it.

We use it to reply to you and, if you want, to arrange a site visit and a quotation. Our lawful basis is taking the steps you ask for before a contract, and our legitimate interest in answering enquiries.

A brief is kept for 24 months from when you send it and then deleted automatically, or sooner if you ask. If you become a customer, what we need for the job and our accounts is kept in our business records instead.

No mailing list, no marketing, and no passing it on to anyone to sell to you.

When you use the assistant

The assistant's answers are written by an AI model from information the firm has written. We keep what you type, the replies, when you sent them, the page you were on, and whether you were on a phone, tablet or computer.

We use this to answer you, to see what visitors ask so the answers can be improved, and to follow up a question the assistant could not answer. Our lawful basis is our legitimate interest in answering questions about our work.

Conversations are deleted automatically after 90 days. Please do not type personal details into the chat; if you want us to contact you, use "Give details of a job" or the brief form.

Counting visits

Only if you say yes in the cookie banner, we count your visit: the page you viewed, the site that sent you here, your device type, the country your connection comes from, and a random ID kept in your browser so a return visit is not counted as a new visitor. We never store your IP address for this.

Our lawful basis is your consent, which you can withdraw at any time from "Cookie settings" at the foot of any page. Visit records are deleted automatically after 13 months.

Keeping the site safe

To stop the assistant and the owner's sign-in page being abused, we keep a one-way coded version of your IP address, which cannot be turned back into the address, for up to 2 days. Our lawful basis is our legitimate interest in keeping the site secure.

The firm's own summaries

The firm's private admin panel can ask the same AI service for a short summary of recent visits, assistant questions and briefs. It is sent visit counts, the questions visitors typed with any email address or phone number removed, and for each brief only the kind of job, the first half of the postcode, the budget band, the drawings stage and whether it came from the form or the assistant. It is never sent names, email addresses, phone numbers or the messages in a brief.

Who handles it for us

These companies process personal data on our instructions, under their data processing terms. Where one of them is outside the UK, the transfer relies on the safeguards in those terms. None of them may use your data for their own purposes.

Vercel Inc.
Hosts the website; the code that handles briefs and the assistant runs in London. Stores the gallery photographs, also in London. Keeps short-lived server logs, which include IP addresses, under its own terms.

Passes questions typed into the assistant to the AI model that writes the replies (DeepSeek V4.1 Flash). It is set to use only a named list of US-based hosts that keep no copy of what is sent and do not use it for training: never DeepSeek's own service, and never a host in China.

Your rights

You can ask for a copy of what we hold about you, ask us to correct it or delete it, ask us to stop or limit using it, object to how we use it, and ask for it in a portable format. You can withdraw consent to counting visits at any time. We reply within one month. There is no charge.

If you are unhappy with how we have handled your data, you can complain to the Information Commissioner's Office: ico.org.uk/make-a-complaint, or 0303 123 1113. We would like the chance to put it right first.

We do not make decisions about you by automated means, and the site is not meant for children.
